Mail left in the INBOX, Sent folder, and Trash folder is automatically expired and deleted from the mail.usi.edu server on a set schedule.

mail.usi.edu server email expiration schedule:

  • All email messages that are left in a @mail.usi.edu INBOX for longer than 180 days are automatically removed from the myUSI mail server.
  • All email messages that are left in a @mail.usi.edu Sent folder for longer than 14 days are automatically removed from the myUSI mail server.
  • All email messages that are left in a @mail.usi.edu Trash folder for longer than 3 days are automatically removed from the myUSI mail server.

Mail that is NOT in the INBOX, Sent folder, or Trash folder is not automatically removed.

If you would like to keep email messages longer than than the time periods listed above, you MUST create folders and place the email messages that you would like to save into folders other than the INBOX, Sent folder, or Trash folder.

Mail that is not moved to another folder WILL BE DELETED and purged from the myUSI mail server.

What is the myUSI mail quota?

Many users first learn of the myUSI mail quota after using 90% of it. Then they often wonder what happens when their email quota is reached.

The myUSI email quota is 50 Megabytes (50 MB) of space across all of your email folders.

Moving messages into a folder still counts against your overall quota. This includes moving mail into your Deleted and Sent folders.

Moving a message from the INBOX into a separate folder does save it from automatically being purged once it is in your account for longer than 6 months (180 days), but the message will still count towards your overall quota until it is fully deleted from any folder in your email.

Once you reach your quota, you won’t be able to receive email anymore and anyone sending you an email message will get bounce back error messages explaining that your mailbox is full.

If you are over quota, you can free up space by deleted messages that you no longer need from any of the folders in your email. If you need copies for future reference, you might consider forwarding them to another account or printing them off before removing them.

The myUSI email quota can be increased  to 100 Megabytes upon request to the myUSI Heldesk email address, myusi@usi.edu.

You can save messages to your Sent Items folder in two ways.

You should remember that items in any folder, including your Sent and Deleted items folders count against your overall quota.

The first way is on a per message basis. When you have the Compose Email screen open, click the Save a copy to the ‘Sent’ folder check box at the bottom of the window before sending the message. This will save only those messages that you expressly want to save and let everything else disappear. This method saves space, but you might not have a copy of a message that you might later need if you forget to check the box.

The second method is to save a copy of all messages sent to your Sent folder. To do that, open the email application by clicking on the e-mail icon in the upper right of myUSI. Then click the Options tab. Then click the Message Preferences link. Finally, check the Send a copy of all messages to ‘Sent’ folder check box and then the OK button.

Now all messages that you send will automatically be sent to your Sent items folder. This method can fill your quota quickly, so you’ll want to keep an eye on this if you get nearing or over quota messages.
