Forwarding the mail that is delivered to an @mail.usi.edu address is relatively simple. Just follow these steps:

  1. Login to myUSI or sign in through the myUSI Start page
  2. Open the myUSI Mail application by clicking on the myUSI Mail icon.
  3. Click on the Options button.
  4. Expand the Mail option by clicking the triangle to the right.
  5. Under Mail, expand the Local account option by clicking the triangle to the right.
  6. Under Local Account, click the Forwarding option.
  7. Clear the address in the Forward To: field
  8. Check Enable automatic forwarding.
  9. Type the email address that you would like to forward your mail to in the Foward to: field.
  10. Click the Save Preferences button
  11. Wait about 15 minutes and then send a message to your @mail.usi.edu address and see if it shows up at the address where your mail is forwarded.

NOTE:

Be sure to TEST your forwarded email account.

We have had many users forward their mail to non-existent or broken accounts.

If you don’t test your configuration, there is a good chance that you will lose communications from the university as we send only to your @mail.usi.edu account.

To test your configuration, send a test message to your @mail.usi.edu address and see if it shows up at the address that you set up for Forwarding.

If it doesn’t show up, there is a problem with the address that you entered in the  Forward to: and it needs to be corrected before you will receive any mail originally sent to your original @mail.usi.edu address.

Your forwarded address could be mistyped or the email account settings on the forwarded address (Hotmail, Yahoo, etc) need to be changed in order to accept email from your forwarding address.

If you choose to change the default configuration, it is your responsibility to make sure that it works and won’t potentially lose communications.

If you aren’t sure how to make this work, you probably don’t want to change the default and, instead, check your myUSI email account on a regular basis through the interfaces provided by the university.

After you have saved your Address Book from the old myUSI, you can import it into the new myUSI by following these steps:

1. Login to myUSI (my.usi.edu)

6. In the Import Contacts to Address Book window that pops up, click the browse button
and browse to the address book you previously exported from the old myUSI (CPAddressBook.csv) and click Open

7. In the Import Contacts to Address Book window, click the File Format drop down box and
choose Microsoft Outlook CSV

8. Click Import Contacts.

9. Depending on how many contacts that need to be imported, there may be a few minute wait

10. The Import Contacts to Address Book window will change to tell how many contacts were
imported, click the OK button

11. Now all your contacts were imported

You can save your myUSI Calendar entries by exporting them to a file format that is compatible with other calendar programs. The myUSI Address Book offers two calendar formats that it can export directly to, including iCal and  XML. The iCal format is pretty standard and can be imported into most desktop calendar programs like Outlook and web calendar applications such as Google Calendar.

Luckily, it also is format compatible with the new myUSI Calendar application.

If you would like to move your Calendar information from the old myUSI to the new myUSI, here are the steps:

1. Login to the old myUSI by going to www.usieagles.org before May 22, 2009.

2. From the main myUSI page, click the Calendar icon in the upper right corner of the myUSI page.

3. From the main Calendar window, click the Options tab.

4. Then click the Export link in the left hand grey Calendar Options sidebar.

5. Choose the calendar(s) that you would like to export from the Calendars list and click the Add>>  button to move them to the Calendars to Export list.

6. Choose either to Export all events or set a Beginning and Ending date range to export into the iCal file.

7. Select iCal for the Export Format and click the Export button.

8. When the Save Dialog window comes up for your particular browser, choose where to put the export.ics file for safe keeping.

How do I save my address book entries?

You can save your myUSI Address Book entries by exporting them to a file format that is compatible with other email programs. The myUSI Address Book offers four email applications that it can export directly to, including Netscape Messenger, Microsoft Outlook, Eudora, and Novell GroupWise. If you use one of these applications for email, by following the steps below you should be able to export your address information from myUSI and into the application with little effort.

However, many people don’t use these specific desktop email applications or they use one of a miriad of Web based email accounts. Luckily, most of these programs will accept address book and contact data in a comma separated values, or CSV, file format. It turns out that the Microsot Outlook format that the myUSI Address Book exports is a CSV file. So, exporting your contact data using the Microsoft Outlook option is probably the most portable version overalll.

Exporting (Saving) Your Address Book Entries

If you have not already done so, go to the email Import/Export screen:

Login to myUSI.

Now, locate the Export section at the bottom of the window and choose the program/format that you want to export your contacts to. Probably the most compatible format is Microsoft Outlook (which, as we said, is a CSV formatted file).

Now click the Export Now button. You should see A “File Download” dialogue box (or similar) appear. In the dialogue bot, choose to “Save this file to disk” and click the OK button. In the “Save As” (or similar) dialog that appears, choose a directory where you would like to save the file.

You now have a file (the default name is CPAddressBook.csv) that is a backup of all your contact information on myUSI. You should be able to directly import it into your email program or service of choice.

Note: Importing file problems can result from fields being named different things in your email program or service than they were in myUSI or the fields may be ordered differently. One way to resolve this problem is to export your address book from your preferred email or service of choice and open both that exported (probably CSV formatted) file and opening your exported myUSI exported file in separate spreadsheets.

You should then be able to copy field data from the myUSI file into your program or service’s CSV file with little difficulty. When you are done, a simple import of the program or service’s CSV file with the additional entries from myUSI should sync everything up nicely.

We’ll have a detailed guide of these troubleshooting steps in the future.

This usually happens to USI faculty and staff that have Outlook/Exchange accounts that are checked by myUSI. It usually happens after you have been prompted on your work computer to change your network password. This usually occurs every 60days.

When you change your network password, it also changes your Outlook/Exchange password at the same time. myUSI doesn’t pick up those changes automatically as the Outlook/Exchange email system is external from the myUSI system. Your Exchange account on the myUSI system has your previous password listed, which is no longer valid. You will have to change it to your new password manually.

To do this:

  1. click on the e-mail icon in the upper right hand corner of the myUSI site once you log in.
  2. You should get an error message similar to the following:
    • Warning:
      Couldn’t authenticate to mail server.
      Could not expand ‘Exchange’ because the system couldn’t authenticate to the mail server. Please enter your password into the dialog box you see.
      Click here to reload the message list
  3. You should also see a pop-up dialog box that looks something like this:
    • Enter Password
      Could not connect to the Exchange account. This could be caused by a number of things such as an incorrect password, or the mail server could be down. If you feel the password may be incorrect, please enter the password and click o.k.
  4. Now, type in your new Network/Outlook/Exchange password in the Password box.
  5. Then click the OK button in the lower left corner.
  6. If you DO NOT see an ENTER PASSWORD dialog box, you probably have a pop-up blocker enabled on your browser! You will need to either disable your pop-up blocker while using myUSI or you need to configure your pop-up blocker to ALLOW pop-ups for the usieagles.org domain. After disabling your pop-up blocker, try the previous steps again.

Your problem should now be fixed.You will have to repeat these steps whenever you change your Network/Outlook/Exchange password.

Other Possible Workarounds and Solutions:

One approach is to delete the email preview channel. Just click the x button and it won’t bother you anymore. You can still access your email from the e-mail icon. If you have to change your password, it will prompt you.

Another option is to remove your Outlook/Exchange access from myUSI. You can do this be deleting it from the Retrieve Other Email section under the e-mail applet’s options tab. Then your usieagles.org email account will show up in the preview. You can still get your Outlook/Exchange email online by going to https://emailnew.usi.edu.

The final option is to have us to set your myUSI email (usieagles.org) account as the default email. Your usieagles.org email account will then display in the channel and shouldn’t ever have an error. If you want to check your Outlook/Exchange email from within myUSI, you can click on the e-mail icon and then you can expand your Exchange account. If it gets an error, you will probably have to reset the password in the Retrieve Other Email section of the E-mail Options tab. If this is how you would like to proceed, let us know.

There are a couple of options to help to maintain two USI email accounts. The following options may be especially attractive to our adjunct faculty. Every USI employee automatically gets a myUSI email account this includes a @mail.usi.edu email address. Employees can also get an Exchange email account, @usi.edu by requesting one from the Computer Center through their Department.

Use Exchange to Check Both AccountsIf you just want all your mail to go to your Exchange/Outlook account so that you only need to check one place for everything, you’ll need to forward your myUSI (@mail.usi.edu) email to your usi.edu mailbox. This gives you the ability to check only the usi.edu mailbox for all of your email messages.

Once the messages have been configured to forward within myUSI, you can check your mail using Outlook, Outlook Express, or the Exchange Web interface at https://exchhub.usi.edu.

Follow these steps to forward your myUSI (@mail.usi.edu) email to your Exchange (@usi.edu) account:

  1. Log into myUSI.
  2. Click myUSI Mail icon at top of page.
  3. Click Options  button on the lower left.
  4. Under the Mail options, click Forwarding.
  5. Check Enable automatic forwarding.
  6. In the Forward to: box enter your full usi.edu email address.
  7. Then click the Save Preferences button at the bottom of the page.
  8. Wait 16 minutes and then send an email to your @mail.usi.edu address. It should forward to your @usi.edu address. If it doesn’t call the myUSI helpdesk at (812)465-1070

No, we currently don’t support POP or IMAP access to the myUSI email server.

The POP and IMAP protocols are insecure because they generally send your username and password in clear text over the Internet.

Because myUSI contains much more confidential information than just your email (i.e. Your transcript, home address, marital status, for example), USI would like you to always use the secure web login provided through the myUSI website. This means that you can only get your email through the myUSI web interface and can not use external clients such as Outlook, Outlook Express, Thunderbird, Eudora, Mac’s Mail.app, and others.

This process also allows us to post announcements in the portal so we do not have to “spam” everyone’s email inbox with important University communications.

There is a chance, as our technologies and services change and evolve, that remote access to myUSI mail using other email clients may be possible. However, as of right now, there is no expected change.
